Due to the expansion of our Lisbon office, we are now seeking a Front Office Assistant to manage the running of the office on a part-time basis.

Your Responsibilities:

- Maintain cleanliness and orderliness of the office environment.
- Supervise cleaning personnel and coordinate with external service providers when necessary.
- Manage office stationery supplies.
- Administer access cards, ensuring appropriate allocation.
- Handle IT equipment requests and distribution, including remote work equipment.
- Manage mailing tasks efficiently.
- Monitor office maintenance needs, such as lights, HVAC, furniture, and submit maintenance requests as needed.
- Oversee coffee machine maintenance and supplies.
- Manage day-to-day office consumables, including tea, napkins, cleaning products.
- Coordinate and oversee meeting room reservations.
- Assist in negotiations and coordination for office relocation and renovation projects.
- Coordinate options for company apartments and liaise with landlords.
- Ensure printer supplies (toners and paper) are well-stocked and provide monthly usage reports.
- Collaborate with other office locations when necessary.
- Welcome and assist visitors to the office.
- Maintain the kitchen supplies, including dishes, cutlery, glasses, mugs, bowls, napkins, and food items such as olive oil, vinegar, milk, tea, ensuring tidiness.
- Manage the office water supply.
- Arrange for a twice-weekly fruit basket delivery.
