Company: NA - NetJets Aviation Sociedade Unipessoal, Lda.- Area of Interest: Human Resources- Location: Paço de Arcos, PT, 2774-550- Req ID: 7172**Purpose of Position**: Drives the HR operations activities for NetJets Europe (Crew or Office Staff), according to internal guidelines, labour law, Tax and Social Security procedures and other relevant regulations, in order to ensure that activities are performed in an accurate and timely manner, ensuring exception internal client service. Leads, improves and coordinates the Payroll activities, as well as HR admin activities, such as documentation generation, system updates, response to internal clients’ queries **Tasks and Responsibilities**: - Support the HR Operations Manager to set the Payroll and HR Admin strategy, processes, procedures, objectives and initiatives in order to ensure area productivity, adherence to regulations and great internal client satisfaction. - Supervise, organize, motivate and assist the Team members, ensuring that the team performs efficiently and achieves all the established goals. Payroll - Ensure the implementation of the payroll process from a" to "z": from the admission of the employee until his/her termination. - Collaborate with IT team, as well as US Team, to ensure that the Payroll Software is fully up-to-date with the latest releases and is correctly set-up in accordance with the predefined requirements. - Develop, suggest and implement payroll best practices (including processes and procedures, timelines, internal audits), to ensure payroll is done in an accurate and timely manner, according to company policies and in compliance with relevant legal and fiscal regulations. Guaranteeing the integration of each European companies’ payroll file on the Accounting system in compliance with accountant’s procedures and regulations. - Guarantee monthly payroll for NetJets employees and consequent obligations are processed in a timely and accurate manner. - Monitor payroll related bank transfers. - Monitor the payroll records by conducting regular audits to existing data, to ensure accuracy and consistency of the records. - Monitor and control the integration of each European companies’ payroll costs files on the Accounting system in compliance with accountant’s procedures and regulations. - Guarantee and assist with the preparation and delivery of legal required documentation, statistics, certifications, etc. to external and internal entities within required timeframes. - Assist other departments (Accounting, Planning and Analysis, Human Resources) regarding payroll queries. Tax & Social Security - Supervise and support the Tax & Social Security Specialist and ensure performance, efficiency and achievement of all the established goals. - Liaise with official authorities to guarantee NetJets’ payroll compliance with employment tax, Social Security and legal requirements. - Responsible for NetJets payroll Social Security registrations for new NetJets companies in Europe. Employee Queries and HR Admin - Ensure an internal client perspective in Payroll, Tax & Social Security and HR Admin activities, ensuring a close collaboration with HR BP team/ Crew Support team, in order to enhance an excellent internal client satisfaction, while complying with relevant processes/ guidelines/ regulations. - Deliver on time and accurate clarifications to employees regarding their queries (payslip matters, employment information, flex work and early retirement, official tax documentation, social security, vacation, absenteeism, CBA, etc.). **Education**: - Bachelor's in Economics or Human Resources **Certifications and Licenses**: **Years of Experience**: - 4-6 years of experience **Core Competencies**: - Adaptability Collaboration Curiosity Service-Oriented Strives For Positive Results **Knowledge, Skills, Abilities and Other (KSAOs)**: - University degree (ideally in Economics, Management, Human Resources, Law, Accounting) - Minimum 5 years of experience in a Payroll role (ideally) - Experience in a fast-paced and multinational environment - Good knowledge of Portuguese and European labour legislation and tax, social security regulations/ Payroll calculation rules and Payroll calculation software - Knowledge of EU social security regulations is an advantage - Knowledge of UK labour legislation and tax & social security regulations/ Payroll calculation rules is an advantage - Fluency in Business English (written and spoken) - Experience in project management and external stakeholders management - Proficiency in MS Office
