General Admin & Diary Operations Manager

WHAT YOU WILL DO

Let's do this. In this vital role you will lead the team who provides general administration support including but not limited to day to day diary management, IT house keeping, purchase requisition process, vendor set-up, travel and expense report submission, travel arrangement, recruitment new hire support for senior Amgen stakeholder across ELMAC Region affiliates.

You will also manage the helpdesk general inquiries into the ACCP and adhere to the continuous improvement agenda of the ACCP.

Responsibilities will include:

  • Adhering to Amgen policies, SOPs, and ensuring compliant usage of business systems and tools.
  • Leading the team who provides general administration and diary management support to Amgen executives.
  • Supporting the continuous improvement agenda.
  • Monitoring ACCP service levels and satisfaction to ensure that outputs meet the agreed expectations.
  • Manage a team of 8-10 people.
  • Adapt, support and contribute to the growth and continuous improvement of the department and ACCP.

  • Master's degree, preferably in Business Management.
  • Minimum 6-8 years directly related experience with a successful track record in project management in general administration support.
  • Knowledge of Pharmaceutical industry.
  • Experience in finance, internal control is an asset.
  • Fluency in English, in written and oral communication.
  • Strategic Decision Making & Planning - Manages planning for a team and serves as a decision maker / point of escalation for the Diary Management and administration team.
  • Team Management - Ability to interact appropriately and effectively with team (composure, conflict management, customer focus, negotiating); Ability to effectively lead, motivate, and build effective teams that generate effective solutions to complex problems.
  • Customer Focus - Dedicated to meeting the expectation and requirements of internal and external customers and maintain effective relationships.
  • Problem Solving - Excellent problem solving, conflict resolution and decision-making capabilities combined with continuous improvement.
  • Result Orientated - Can be counted on to exceed goals and is a consistent top performer.
  • Time Management - Able to manage multiple tasks, prioritizing in a logical manner.
  • Presentation Skills - Effective in a variety of presentation settings: one-on-one, small and large groups, with peers, direct reports, and superiors.

Preferred Requirements:

  • Experience in similar or related discipline. (finance, audit etc)
  • Project management skills and experience.
  • People management
  • Prior experience in Operations handling.
  • Experience in using Ariba, Concur, SAP .
