.Job Purpose The primary purpose of the Executive & Office Assistant Specialist will be to provide a full range of administrative support to the Executive, Senior Management and other staff as required, as well as managing multiple office requirements in our different locations. In this role it will be required to manage complex calendars, coordinate meetings and events, and ensure that all logistical requirements are met with the utmost discretion and confidentiality. Must demonstrate proven ability to prioritize tasks, streamline processes and maintain professionalism in a fast-paced environment.Key Responsibilities : Managing Schedules/Calendars : handles calendars, ensuring timely and efficient scheduling of meetings and appointments for key company Executive and Senior Management. Communication Management : act as a point of contact among executives, employees and other stakeholders. This involves managing information flow accurately, promptly, and discreetly, screening and directing inquiries as necessary. Meeting Coordination : set-ups meetings, conferences, and events. Prepareagendas,organizes the required materials and logistics, and takes minutes during discussions. Travel Arrangements : arrange domestic and international travel accommodations, including flights, hotels, transportation, and visa processing ensuring smooth business trips. Administrative Support: provide administrative support such as drafting and receiving correspondence, preparing reports, receiving external people in the office, and handling expense reports. Information Management: maintain organized filing systems, databases, and document repositories, ensuring easy access to critical information. Project Assistance: assist with special projects and initiatives as assigned, collaborating with cross-functional teams to achieve objectives. Office Management : support other staff and manage office supply inventory and overall functioning (cleaning, organization, etc.) Your profile Education: BSc preferred, or equivalent work experience. Experience: Proven experience as an executive assistant or similar role that requires the same experience. Skills/knowledge/behavioural competencies: English proficiency. MS Office proficiency – Word, Excel, Power Point, Teams, Forms, others. Ability to adapt to new tools and technologies as needed. Strong organizational and time management skills, with the ability to multitask and prioritize effectively. Proactively identify and address issues, anticipating needs and providing solutions to enhance efficiency and productivity. Excellent communication and interpersonal abilities, with a professional demeanor. Handles sensitive and confidential information with discretion, maintaining a high level of confidentiality. Attention to detail and a commitment to accuracy in all tasks. Ability to work productively in a high-pressure environment
