We are looking for a Full-Time Office Coordinator to join our RELEX office in Lisbon.
Join us as Office Coordinator, and this is some of what you'll be doing: In this role, you will be part of a fast-paced and rapidly growing office of 30+ RELEXians, and you'll play a pivotal role in enhancing the vibrant atmosphere at the office.
What you'll be doing: In this role, you are independently responsible for handling administrative tasks such as office upkeep, maintenance correspondence, and an active participation in a presentable and positive office experience for our employees.You will be part of the process of preparing for new employees, restocking and organizing common spaces, lounge area and storages, as well as supporting with the organization of events and other various tasks.
Elevating the Office Experience: Take charge of administrative tasks to maintain a welcoming and efficient office environment. Ensure our lounge area and meeting rooms are inviting and well-organized. Manage incoming and outgoing mail, making sure everything runs smoothly. Be the go-to person for creating warm and informative welcome packages for new employees. Ensure their first day in the office is seamless and memorable. Make sure that they have their equipment is ordered, set up, and ready to go. Involvement in Exciting Projects: Collaborate on office-related initiatives, including events and marketing & communication activities. Coordinate with your colleagues from other offices for international gatherings. Be proactive and initiate projects that foster teamwork and collaboration. Self-driven, proactive and capable of independent work. Good self-management and multi-tasking skills – you have a smile on your face and look for solutions even when things get a bit hectic. Previous experience in administrative tasks and/or hospitality/office management is a big advantage Language skills: As this role needs to coordinate with several external stakeholders.
