-Overview
- As an Operations Manager at adidas you are responsible for managing all internal and freelance resources. You are also responsible for supporting the process of recruiting all freelancers for Studio A. Your task is to oversee the process of resourcing, pipelining, and allocating potential, incoming, and working talent for the current and forecasted needs of the department. Driving the best practices, building, and implementing the best resourcing strategy, as well as contributing to a culture of value, quality and diversity are just a few of the key activities that will be expected from this role. Additionally, you will be the key point of contact for any resource-related processes and reporting for upper management. Your role will be to connect two teams that although they are geographically apart, will work as one. You need to be proactive in your approach to problem-solving. The Operations Manager and the Resource manager should work as one team, although the functions are different, they both complement each other to create a harmonious existence.-
Key Responsibilities
- Scope: Accountable for all resources and operational resourcing needs of current and future project demand
Resource Management
-Define and implement resource strategy for all trafficked members of Studio A
-Oversee day-to-day resource management of long term and ad hoc requests / changes on ongoing Global Studio A projects
-Manage the process of maintaining Workfront for all team members and report to senior level
-Weekly and Monthly alignment with internal stakeholders and hiring managers on capacity and planning
-Reporting on resource capacity, availability, analysis of data on admin time and projects and, any other reporting we may find useful
-Own the process of timesheet management for all staff within Studio A
-Recruitment and Finance
-Support in oversee sourcing, interviewing and hiring for all new freelance roles for Studio A Amsterdam, Germany and Porto
-Support in management of recruitment process though external recruiters and Fieldglass
-Support the setup process for freelancers through internal recruitment system for external workforce (Fieldglass)
-Update all system licenses as part of onboarding and offboarding
-Foresight to keep costs down where possible
- Scope: Accountable for all resource related operations and processes
Operations
-Responsible for the onboarding and setup process together with the Operations Team
-Collaborate with Studio A’s finance team on financial reporting on resource related costs
-Monthly and Quarterly reporting
-Monthly and Quarterly capacity planning with Portfolio and Operations team
-Responsible for keeping all Distribution lists and mailboxes updated
-Together with the Resource manager, you are both responsible for ensuring that all our system users are always up-to-date, and no inactive user accounts are active
-Researching the latest and best tools that are best for Studio A to ensure we are always ahead on the game
-Process optimization and best practices
-Contribute and drive standard best practices and control methods
-Drive best practice communication and trainings throughout the organization regarding your area of responsibility
-Monitor and analyze respective processes continuously.
-Identify improvement opportunities and define respective solutions.
-Conduct process reviews involving all relevant stakeholders to collect appropriate feedback and define/enrich a backlog of improvements.
-Define change requests for new functionalities in sufficient detail for qualification and solution selection

-Experience
-5+ years of experience in a Digital environment
-Min. 5 years' experience in operations in a digital marketing / communications related industry
-Experience in resource management for the creative / advertising / marketing industry
-Experience in managing highly complex processes, involving multiple teams in different geographies
-Experience managing a small team
-Experience in a corporate environment and / or a creative agency is a plus
-Soft-Skills
-Ability to quickly adapt to changing business processes and business priorities
-Very good communication & negotiation skills
-Comfortable presenting complex topics to stakeholders at various organizational levels both in person and remotely
-Experience in working with multicultural organizations
-Hard-Skills
-Comfortable working with enterprise-level platforms and technologies
-Excellent Excel skills
-Knowledge of resource management tools
-Fluent English both verbally and written
