">The Role:
As an experienced and reliable Executive Assistant, you will provide professional, diligent, and proactive administrative support to a General Manager. This role may also involve additional tasks related to the Porto Leadership Team. Your responsibilities will include active diary management, international travel bookings, and providing administrative assistance for BAU and ad-hoc work initiatives.
You will need to understand business priorities, proactively anticipate needs, and drive improvements. You should possess the ability to complete complex tasks quickly with minimal guidance and react promptly to situations requiring a quick turnaround.
Additionally, you will manage a team of two, offering support and ensuring that the team evolves to provide exceptional service to their directors.
This role is expected to start around January, and the contract will last for one year.">

Your Key Responsibilities:

  • Diary Management: Ensure effective management of diaries, documents, and travel arrangements, addressing problems proactively and calmly.
  • Travel Management: Coordinate travel and accommodation requirements, including itineraries and logistics across multiple time-zones.
  • Meeting Management: Schedule internal and external meetings, planning, arranging rooms, equipment, meeting papers, and catering when necessary, as well as taking minutes and greeting visitors.
  • Expense Management: Process work and travel-related expenses in a timely manner, respecting deadlines, raising purchase orders, and arranging invoice processing.
  • Collaboration: Deal professionally and cordially with third parties, employees, and senior managers on behalf of the executive.
  • Document Circulation: Collate and circulate updates for internal memos, reports, and documents.
  • Event Support: Assist with planning and executing the GM's events.
  • Record-Keeping: Maintain effective filing systems and ensure timely reporting deadlines.
  • Talent Development: Establish relationships with EAs/PAs and other staff in key locations.

Your Qualifications and Skills:

  • Previous Experience: Proven experience as an Executive or Personal Assistant supporting senior management/Director or C-level.
  • Confidentiality: Comfortable working with confidential information.
  • Team Management: Experience managing a team and possessing proactive problem-solving skills.
  • Communication Tools: Proficient in using Zoom and Slack for communication.
  • We offer a competitive salary of $60,000 - $80,000 per annum, depending on experience, plus a range of benefits to support your career growth and well-being.
