Our client, a dynamic company in the consulting and advisory sector, is seeking a highly organized and proactive Administrative Support Specialist to join their team.
Key Responsibilities
- Provide high-level administrative support to senior executives, including managing their calendars, scheduling meetings, and travel arrangements.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Draft, edit, and proofread documents, reports, and presentations.
- Handle confidential information with discretion.
- Assist with the preparation and coordination of corporate events and projects.
- Serve as a liaison between executives and other staff members.
- Conduct research, compile data, and assist with decision-making.
- Oversee daily office operations to ensure a smooth workflow.
- Manage office supplies, inventory, and equipment maintenance.
- Coordinate with IT to address technical issues and ensure the functionality of office systems.
- Handle correspondence, including emails and phone calls.
- Maintain a clean, organized, and professional office environment.
- Plan and coordinate office events, meetings, and conferences.
- Ensure compliance with health and safety regulations.
- Manage office budget and expenses, including processing invoices and managing petty cash.
Requirements
- Bachelor's degree in Business Administration, Management, or related field.
- Proven experience as an Office Manager, Executive Assistant, or in a similar role.
- Over 5 years of experience in similar roles.
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Ability to handle sensitive information with discretion and confidentiality.
- Excellent problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
- Professional demeanor and a positive attitude.
