We are a specialized consulting, financial advisory and tailored asset management services company seeking a highly organized and proactive Executive Assistant to support our Group Operations Center and Executives located abroad.
Job SummaryThe successful candidate will provide high-level administrative support to senior executives, manage calendars, prepare meeting agendas and minutes, draft documents and presentations, handle confidential information with discretion and assist with office operations.
Key Responsibilities:- Provide exceptional administrative support to senior executives, including calendar management, travel arrangements and preparation of meeting materials
- Manage office supplies, inventory and equipment maintenance to ensure smooth workflow
- Coordinate with IT to address technical issues and ensure functionality of office systems
- Maintain confidentiality and handle sensitive information with professionalism
- Plan and coordinate office events, meetings and conferences
- Ensure compliance with health and safety regulations and manage office budget and expenses
- Bachelor's degree in Business Administration, Management or related field preferred
- Proven experience as an Office Manager, Executive Assistant or in a similar role with over 5 years of experience
- Exceptional organizational and multitasking abilities, strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software
- Able to work independently and as part of a team with a professional demeanor and positive attitude
