Office Coordinator

Job Summary: We are seeking an experienced Office Administrator to join our team in Lisbon. As the first point of contact for staff, clients, and visitors, you will be responsible for providing exceptional administrative support and ensuring the smooth operation of our office.
Key Responsibilities:
- Administrative Support: Provide prompt and professional support to staff, clients, and visitors, responding to inquiries via phone, email, and in-person.
- Office Management: Manage planned preventative maintenance, remedial works, and ensure timely completion of corrective actions.
- Travel Coordination: Coordinate travel arrangements for staff, ensuring smooth and hassle-free trips.
- Documentation and Records: Ensure all necessary documentation and records are in place, including Health and Safety folders, PEEP, awareness, communication, and H&S training.
- Liaison and Communication: Liaise with service providers, contractors, and property management companies to ensure any issues are addressed promptly.
- Office Maintenance: Ensure a neat and pleasant working environment, including meeting rooms, open office area, bathrooms, and the kitchen.
- Reporting and Administration: Take ownership of office reporting, including internal hours, training records, and certifications, and assist with office communications and social events.
Requirements:
- Experience: Proven experience in a related role, such as Office Assistant, Receptionist, or other relevant position.
- Skills: Proficient in Microsoft systems, Outlook, Word, and Excel, and ability to use other systems such as security software.
- Communication: Excellent communication skills, with fluency in both English and Portuguese, and ability to build good relationships both internally and externally.
- Confidentiality: Ability to handle confidential information with discretion.
- Adaptability: Ability to prioritize and juggle multiple streams of activity, and adapt to changing situations.
