Job Description

As an Administrative Assistant, you will play a crucial role in supporting our team by managing and organising administrative documentation and correspondence.

Key Responsibilities:

  • Manage physical and digital filing systems to ensure compliance with organisational and confidentiality standards.
  • Provide support with secretarial tasks, including answering phone calls and managing schedules.
  • Assist with invoicing, data entry into ERP systems, and payment monitoring.
  • Coordinate internal communication between departments to ensure efficient information flow.
  • Manage contacts with suppliers and clients, ensuring timely follow-up on requests.
  • Participate in continuous improvement initiatives for administrative and operational processes.
  • Develop and implement administrative procedures to enhance efficiency.
  • Overall office management.

Requirements:

  • Minimum secondary school education (preferably in administration or management-related fields).
  • Basic accounting knowledge.
  • Knowledge of Microsoft Office tools (Outlook, Word, Excel).
  • Excellent organisational, time management, and multitasking skills.
  • Fluent in Portuguese and English.
  • Strong verbal and written communication abilities.
  • Proactive, self-motivated, and responsible.
