PMO & ASSISTANCE (JOB NUMBER: 2402CE17472)
**Your Main Activities Are**
- Analytical Accounting- Coordinate and orchestrate budget, adjustments for Corporate Institutional Banking (CIB) Company Engagement (CE) France, Portugal and UK, in close collaboration with all different stakeholders: Central Finance, Heads of activities and local finance, and HR when required
- Operational Accounting
- Invoice management process owner and cost monitoring in support to department managers and Heads of CIB CE Portugal and France (follow-ups, confirmations with teams)
- Validate as resolution agent into OneCapp for the full French perimeter (check with operational contact whether invoice and amount are consistent - ensure that invoice has been allocated to the right GL account and cost center)
- Follow-up the full process of approval of an invoice until the payment gets triggered
- Chase, perform internal and external investigations when required (non-integrated, blocked and/or pending invoices for approval) with accounting team in Portugal, managers within CIB CE and/or suppliers
- Trigger urgent payments when required and follow-up until final invoice gets recorded in the accounting books
- Communicate on process to onboard new suppliers or to subscription of e-invoicing solutions
- Provide help to suppliers when needed
- Administrative tasks
- Monitor and organise entrance/exists management, meetings and team events
- Organise long stay accommodations (6 months) and trips in line with dedicated budget for Graduates when on rotations (search flats in different locations mainly: London, Hong Kong, New York
- Onboard suppliers when not registered
- Follow-up on payments and deposits to be refunded as well as regularisations to be performed in our accounting system
- Create and update the main distribution lists of CIB CE
- Help to fine-tune internal processes with CCCO team especially on off-boarding of staff
- Approve in MyIam (delegation of profile) and recertificate accesses for the team
- Manage the calendar of the team (4 people)
- Internal meetings to set up as well as external client meetings
- Conflicts to solve and constraints to take into account mainly linked to transversality of activities
- Travels to organise to London and broader trips linked to UN events, COP, etc.
**Profile and Skills to Success**
- Bachelor’s Degree
- Fluency in English (both oral and written)
- Proficiency with Microsoft Office tools
- Ability to work in a team setting
- Agile mindset
- Good logical thinking skills
- Self-organised
- Ability to anticipate challenges, prioritise tasks and meet deadlines
- Analytical skill and detail oriented
