The Administration Executive will report directly to the Head and lead the implementation and execution of key strategic initiatives at administrative and operational levels.

Julian's School:
We are a highly successful, non-selective 3-18 British international school with a reputation for academic excellence, founded in 1932. We currently have just over 1,200 students from over 50 different nationalities.
The School has three sections:
Primary, Secondary, and Portuguese.
We have been accredited by CIS (Council of International Schools) and NEASC (New England Association of Schools and Colleges) since 1998, we are an Accredited Member of COBIS and our Head is an International Member of HMC (Heads' Conference).
Key areas of responsibilities:
Administrative processes
- Provide senior and executive level support to the senior leadership meetings, including taking minutes, and initiating and driving processes with the necessary teams to implement the decisions taken
- Initiate and implement improved processes for whole school operational, compliance and administrative areas
- Support processes that are required for compliance
Internal communication
- Ensure that consistent internal communication (staff, students, parents, governing body) protocols are in place and understood across all sections of the school, coordination and revision and publication of internal school documents and platforms
- Assure the Staff Intranet and the Parent Portal are comprehensive and up to date
- Coordinate the whole school calendar, assure sections and departmental calendars are consistent all across school
Compliance
- Work with the Head to ensure that the school's systems, organisation and processes are compliant with local requirements and accreditation standards.
- Ensure that policies are made clearly available to the relevant members of the community and they are well considered, efficient and fit for purpose.
- Work with the Head to maintain a review cycle of all policies.
- Coordinate the development and revision of school policies and ensuring these policies are compliant with the different accreditations the school has
- Ensure students and staff data is accurate and correctly updated on all school platforms, and properly archived
- Supervise the reenrolment process and signature of various parent/school documents and forms
- Provide administrative help to the school's accreditation team
Personal qualities:
- Applicants must be based locally
- Fluent in English and Portuguese (spoken and written)
- Experience with project management is required
- An understanding of international education processes is desirable
- Strong problemsolving skills as well as an ability to think strategically
- Ability to work in a highly fastpaced environment
- Strong organizational and time management skills
- Highly IT proficient, with specific experience of Microsoft Office and Google suite
- Excellent communicator and calm under pressure
- Highly personable with all stakeholders (staff, students, parents, governing body)
- Diplomatic and discreet with high levels of professional integrity
- Ability to work with multiple teams, with a flexible and collaborative approach
- Good sense of humor.
