Introduction:


Technopolis Group is an international research and consulting organisation with offices throughout Europe and a growing business in emerging economies.


Our main business is the conduct of policy studies, evaluations and socio-economic impact assessments for various regional, national and international organisations.

We work across a number of policy areas, ranging from science, technology and innovation to higher education, green economy, health and life sciences, and digital economy.

Clients are predominantly public or third sector and include government departments, the European Commission and other international bodies.

We have grown over the past 30 years and are continuing to expand internationally, with around 250 consulting staff working across 12 offices in Europe, Africa and South America.

About this job:

The Office Manager will be responsible for maintaining efficient office operations, managing HR functions, and overseeing financial activities.

Your profile:

  • At least five year's previous experience working as an administrator, ideally in a projectbased environment in the public or private sector.
  • Excellent and wideranging administration skills.
  • Excellent command of Portuguese and English, spoken and written.
  • High ability to write well and have good numeracy skills.
  • Excellent ICT skills.
  • Excellent organisational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Detailoriented and proactive problemsolving skills.
  • Adaptable to changing priorities and deadlines.

Your responsibilities:

Operations Management:

  • Ensure smooth daytoday operations of the office.
  • Manage office supplies, equipment, and maintenance.
  • Develop and implement office policies and procedures.
  • Coordinate with vendors and service providers.
  • Optimise office layout and space utilisation.
  • Support the company's senior management team as necessary, through for example managing website updates, internal meetings or organising occasional business planning or communications events.

Human Resources Administrative Management:

  • Oversee the recruitment and onboarding process.
  • Manage employee records, including attendance and leave.
  • Handle payroll processes, including calculating wages, taxes, and ensuring compliance with labour laws.
  • Implement performance appraisal systems.
  • Administer benefits programmes and ensure compliance.
  • Organise training and development initiatives.

Financial Management:

  • Manage budgets, expenses, and financial records.
  • Process invoices, payments, and payroll.
  • Prepare financial reports and forecasts.
  • Ensure compliance with accounting regulations.
  • Support in financial planning and analysis.

Business Development and Project Management:

  • Support the consulting teams with the preparation of proposals and the setup of their project files.
  • Assist project managers with projectspecific administrative tasks, from capacity planning through to contract management and progress reporting.
  • Support the consulting teams with aspects of project administration, from organising international travel to preparing graphics and visualisations for presentations and final reports.
