Software House operating in the financial sector is hiring an office administrator

Your new role
Being responsible for managing the office, as well as the overall assistance to the different departments, your main duties will be:

- Administrative Support: Managing calendars, scheduling meetings, arranging travel, preparing correspondence and handle incoming and outgoing communications, as well as document management (organise and maintain digital and physical records);
- Office Operations : Maintaining office supplies, equipment, and facilities. Coordinate with vendors and service providers for office maintenance, repairs, and supplies ordering. Implement and maintain office policies and procedures to ensure efficient workflows;
- Financial Support: Assist with financial tasks such as expense tracking, invoice processing, and budget monitoring;
- Human Resources Support: Maintaining employee records, onboarding and offboarding processes, and coordination of employee benefits. Support recruitment efforts by coordinating interviews and applicant tracking;
- Information Management: Maintain confidentiality and handle sensitive information with discretion. Ensure compliance with data protection and privacy regulations;
- Office Culture and Morale: Foster a positive office environment by organising team-building activities, celebrations, and social events. Provide assistance and support to employees, promoting a positive and inclusive workplace culture.

What you'll need to succeed
- Proven experience as an office administrator, office assistant, or similar role;
- Excellent written and verbal communications skills;
- Professional English and French;
- Knowledge of basic accounting principles and familiarity with financial processes;
