**About Your Team**:
As a member of the CEO's Office Team, you will be instrumental in managing the CEO's day-to-day activities and priorities. This team ensures that the CEO's time is used effectively, enabling him to focus on strategic growth and leadership. You will collaborate with various departments, helping to organize, prioritize, and streamline communication between the CEO and internal/external stakeholders, while providing critical support in managing his agenda, presentations, and backlog.
**How Can You Help?**
As the** Executive Assistant to the CEO**, your primary role will be to manage the CEO’s time and tasks, ensuring that priorities are aligned with company objectives:
- Oversee and manage the CEO's calendar, scheduling meetings, travel, and engagements efficiently.
- Maintain the CEO's backlog, helping to prioritize tasks, deadlines, and follow-ups.
- Assist in preparing high-quality presentations and reports for executive meetings, ensuring all materials are professional and well-organized.
- Act as the first point of contact for the CEO, handling communication with internal and external stakeholders.
- Ensure smooth agenda planning and coordination of key meetings
- Proactively identify ways to optimize the CEO's time and workflows, ensuring maximum efficiency.
**Daily at Sensei, You Will**:
- Coordinate the CEO’s complex calendar, scheduling, and rescheduling meetings as priorities shift.
- Manage the CEO’s task backlog, organizing it based on deadlines and company needs, ensuring nothing falls through the cracks.
- Assist in the planning and logistics of the CEO’s business trips, including travel, accommodations, and itineraries.
**You Will Bring to the Table**:
- 3-4 years of experience in a similar role, ideally supporting a senior executive or C-level leader.
- Excellent organizational skills with a proven ability to manage a complex calendar and multiple competing priorities.
- Strong communication skills, both written and verbal, with fluency in Portuguese and English.
- Proficiency in Microsoft Office and G-Suite, particularly in creating professional presentations.
- A proactive, hands-on approach to problem-solving, with the ability to anticipate the CEO’s needs.
- High attention to detail, a sense of ownership over your work, and the ability to handle sensitive information with discretion.
**After Six Months, Success Means**:
- You have mastered the CEO’s schedule and backlog, ensuring efficient time management and a seamless flow of tasks and meetings.
- You have optimized the coordination of executive leadership meetings, ensuring agendas are clear, actionable items are tracked, and progress is visible.
- You’ve built strong, trusted relationships with internal teams and external stakeholders, ensuring smooth communication flows.
