We are seeking a highly organized and detail-oriented Business Services Assistant to join our team. The successful candidate will be responsible for providing administrative support to the finance and operations teams, managing cash flow, and performing various administrative duties.

Responsibilities:
  • Administrative Support
    • Provide general administrative assistance to the finance and operations teams.
    • Handle correspondence, emails, and calls related to financial matters.
    • Maintain and organize filing systems, both paper and electronic, for financial documents.
  • Cash Flow Management
    • Monitor and manage daily cash flow, ensuring sufficient funds are available for operational needs.
    • Assist in preparing cash flow forecasts and reports for management.
  • Invoicing and Payments
    • Create and issue invoices when necessary, ensuring accuracy and timely submission.
    • Follow up on unpaid invoices and manage collections in a professional manner.
    • Process incoming payments and ensure proper allocation to accounts.
    • Manage outgoing payments.
    • Reconcile payment records with bank statements.
  • Financial Record Keeping
    • Maintain accurate financial records and ensure all accounting transactions are recorded.
    • Assist with bookkeeping tasks such as maintaining the general ledger, updating financial databases, and tracking expenses.
Requirements:
  • Education:
    • Associate's degree in Accounting, Finance, Business Administration, or related field (preferred).
    • Relevant certifications (e.g., QuickBooks, Excel, or bookkeeping) a plus.
  • Experience:
    • Proven experience in administrative and accounting roles, with a focus on cash flow management, invoicing, and payment processing.
    • Proficient in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite, especially Excel.
  • Skills:
    • Strong attention to detail with excellent organizational and time-management skills.
    • Ability to manage multiple tasks and meet deadlines.
    • Strong verbal and written communication skills.
    • Analytical mindset with the ability to identify discrepancies and resolve issues.
    • Professional and proactive attitude with a high level of discretion.
