About the Role: We are seeking a highly organized and proactive Executive and Personal Assistant to join our team at Sword Health, Inc. This is a fantastic opportunity to work with our leadership team members, providing exceptional support and ensuring seamless day-to-day operations.
Salary: $85,000 - $110,000 per year, depending on experience.
Job Description:
We are looking for an experienced Executive and Personal Assistant to manage the calendars, travel arrangements, and communications for our leadership team members. The ideal candidate will have strong organizational skills, be able to anticipate needs, and handle confidential information with discretion.
Key Responsibilities:
- Manage the calendars of multiple leadership team members, scheduling meetings, appointments, and conference calls;
- Arrange travel accommodations and itineraries, considering preferences and efficiency;
- Serve as a liaison between leadership team members and internal/external stakeholders, managing communication and correspondence efficiently;
- Assist with expense reporting, reimbursement requests, and other financial support tasks;
- Provide personal support, including managing personal appointments and handling personal errands when needed;
- Support the planning and execution of team events, coordinating across cross-functional teams or departments.
Requirements:
- 3+ years of experience as an Executive Assistant;
- Availability to work 5 days a week in our Porto office;
- Strong verbal and written communication skills in both Portuguese and English;
- Proficiency with office management and meeting scheduling software.
