The Role:

We seek an experienced, reliable, and task-oriented Senior Business Operations Coordinator to provide professional, diligent, and proactive administrative support to a General Manager and potentially additional tasks related to the Porto Leadership Team. The role involves active diary management, logistics, planning, and arranging international travel bookings, as well as providing administrative support on BAU and ad-hoc work initiatives.

You will need to understand business priorities, demonstrate the ability to proactively anticipate needs, and drive improvements. You should possess the ability to complete complex tasks quickly with minimal guidance and react with appropriate urgency to situations requiring a quick turnaround.

You will also manage a team of two, providing support and ensuring the team evolves to provide excellent support to their directors. We expect this role to commence around January and last for approximately one year.

Key Responsibilities
  • Diary Management: Effectively manage diary commitments, documents, and travel arrangements, dealing proactively and calmly with any issues that arise.
  • Travel Management: Coordinate travel and accommodation requirements, including itineraries and logistics, across multiple time zones.
  • Meeting Management: Schedule internal and external meetings, planning, arranging rooms, equipment, meeting papers, and organizing catering and minute-taking as necessary.
  • Expense Management: Process work and travel-related expenses in a timely manner and respect deadlines, raising POs, and arranging for certain invoices to be processed.
  • Deal professionally and cordially with third parties, employees, and senior managers on behalf of the executive.
  • Collate and circulate updates for internal memos, reports, and documents.
  • Support the planning and execution of GM events.
  • Maintain effective filing systems and ensure reporting deadlines are met.
  • Establish relationships with EAs/PAs and other staff across key locations.
What You'll Bring
  • Previous experience as an Executive or Personal Assistant supporting senior management/Director or C-level.
  • Familiarity with handling confidential information.
  • Experience managing a team and proactive problem-solving skills would be beneficial.
  • Familiarity with working with Zoom and Slack (for Ask Me Anything sessions).
  • Excellent attention to detail, interpersonal skills, and ability to work with various styles and personalities.
  • Ability to stay calm under pressure with a mature outlook and approach.
  • Well-organized with excellent communication skills and attention to detail.
  • Experienced in handling highly confidential information.
  • Proactive with a hands-on approach and can-do attitude.
  • Excellent written and verbal communication skills in English.
  • Highly proficient in Word, Excel, PowerPoint, and Outlook.
  • Comfortable operating at pace within a highly dynamic working environment.
  • High degree of resilience, perseverance, focus, and commitment.
  • Able to work both independently and in a team.
