Job Overview

This newly-created Office Assistant position will have you working closely with a vibrant team supporting our Lisbon office.

You'll provide administrative support to ensure efficient operations within the Lisbon office, collaborating with colleagues to manage and enhance our workspace.

This role requires a proactive individual with excellent communication skills, attention to detail, and the ability to multitask effectively. Prior experience in an administrative role would be advantageous.

This role is based in our modern office premises in Lisbon, offering a dynamic workplace and a chance to collaborate with expert colleagues.

Key Responsibilities:
  • Assist in daily office operations, including responding to correspondence, managing emails, and coordinating meetings.
  • Coordinate travel arrangements, events, and appointments for staff members.
  • Prepare and distribute reports, memos, and presentations as needed.
  • Monitor and replenish office supplies and equipment as necessary.
  • E nsure the office environment is clean, organized, and conducive to productivity.
  • Liaise with building management and vendors for maintenance and repairs.
  • Provide administrative support to senior management, including calendar management and expense tracking.
  • Contribute to special projects and initiatives as assigned.
Requirements:
  1. Experience in office administration, preferably in a financial services firm or related industry.
  2. Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  3. Excellent organizational and time management skills.
  4. Strong written and verbal communication skills in both Portuguese and English.
  5. Attention to detail and problem-solving abilities.
  6. Ability to work independently and prioritize tasks effectively.
  7. Discretion and confidentiality in handling sensitive information.
