Our team is committed to delivering exceptional results for our clients, and we are seeking a highly skilled Global Hr Shared Services Specialist to join our organization.

Estimated Salary: $120,000 - $180,000 per annum, depending on experience and qualifications.

About the Role:

We are looking for an experienced Global Hr Shared Services Specialist to support our HR teams globally with HR administrative tasks throughout the employee life cycle. As a key member of our team, you will work closely with the Global HR Operations function to ensure seamless execution of HR processes.

Key Responsibilities:

  • Enter and maintain employee data within our HR system, including personal data, job details, office assignments, promotions, compensation, working capacity, leaves of absence, education, background history, line managers, and assistants.
  • Maintain personnel files in compliance with applicable legal requirements and internal standards.
  • Support new hire onboarding and background verification processes.
  • Schedule inductions and send welcome emails to new employees.
  • Deliver audit support on personal files and forms.
  • Assist with general employee requests, letters, verifications, reference checks, and visa invitation letters.
  • Generate reports for employee distribution lists, new joiners, anniversaries, milestones, and other important events.
  • Track employees' probationary periods and flag them for follow-up with the HR team.
  • Prepare, process, and follow up on employee paperwork related to new hires, promotions, transfers, address changes, additional payments, status changes, and employee exits.
  • Manage and maintain the inbox for employee queries and escalate issues to the correct team contact when necessary.
  • Coordinate with support functions for new hire laptops, access setups, payroll configurations, and other necessary arrangements.
  • Assist in developing and modifying operating policies, guidelines, procedures, systems, and documentation to foster best practices within the team.
  • Use a proactive, flexible, and practical approach to manage process and technology changes, ensuring project outcomes are achieved.

Requirements:

  • Service-oriented, flexible, and able to work under pressure with excellent attention to detail.
  • A structured way of working, with the ability to multitask and prioritize tasks effectively.
  • Demonstrates accountability, ownership, and the ability to handle confidential information.
  • Reliable, timely, and flexible, with excellent communication skills (oral and written).
  • Ability to work in a highly matrixed organization, with flexibility to support a diverse, international set of stakeholders.
  • Excellent English language skills (written and spoken), with proficiency in MS Office (Word, Visio, Excel, PowerPoint, Outlook).
  • Familiarity with Workday and experience in Global HR Operations/HR Shared Services.
