Office Facilities Assistant

The Office Facilities Assistant will be responsible required to execute the following tasks:
- Welcome work colleagues and visitors;
- Help to organize and maintain office common areas;
- Assist with the setup of meeting rooms: furniture, chairs, tables, projectors, easels, flip charts, white boards, etc;
- Oversee both janitorial and lawn maintenance service needs;
- Reach contractors to handle building repairs;
- Conduct and maintain building inventories on a regular basis;
- Maintain supply inventory; monitor and maintain stationary stock levels
- Manage incoming mail, invoice shipment, and its respective data storage;
- Create, maintain, and enter information into databases;
- Keep a close relationship with the Office Manager to ensure the smooth running of the daily tasks
- Grant support to the Office Facilities Responsible in all responsibilities addressed to the Office Management Team, such as:
- Travel management queries;
- Event planning tasks;
- And maintenance of a harmonious, safe, comfortable, productive and sustainable work environment.
**Qualifications and skills**
Essential:
- High school diploma or associated degree
- Ability to communicate clearly with internal and external contacts
- Very strong organisational and time-management skills
- Exceptional attention to detail and accuracy
- Excellent interpersonal skills
- Ability to write clearly and help with word processing when necessary
- Ability to multitask in a highly demanding work environment.
Desirable:
- Prior experience in a similar environment
**Language skills**:
- English (mandatory)
- Portuguese
