We offer a competitive salary of approximately €45,000 per year, depending on experience.

About the Role

We are seeking an experienced Administrative Coordinator - Travel and Expenses Specialist to join our team in Lisbon. As a key member of our HR department, you will be responsible for providing high-quality administrative support related to travel and expenses management.

Your primary focus will be on delivering efficient, precise, and timely transactional HR services based on established processes. This role requires strong attention to detail, effective communication skills, and the ability to work collaboratively as part of a cross-functional team.

  • Main Responsibilities:
  • Provide expert-level administrative support for travel and expenses management
  • Maintain high quality and compliance with policies and legal regulations
  • Generate accurate T&E reports in our information system (HRIS)
  • Perform quality checks and ensure seamless HR process delivery
  • Collaborate with cross-functional teams to streamline travel processes and enhance efficiency
  • Promote continuous improvements through process optimization and system implementation
  • Support employees and managers to ensure accurate and complete information in SAP Concur
  • Maintain requests received via our ticketing tool and resolve issues within agreed timeframes
  • Manage credit card verification and monitor adherence to travel policies and guidelines
Requirements

To succeed in this role, you will need:

  • Bachelor's degree** in Business Administration or a related field
  • At least 2 years of relevant work experience, preferably in travel administration or a similar role
  • Strong communication and interpersonal skills**
  • Attention to detail and organizational skills**
  • Familiarity with Office 365, Workday, SAP Concur, and Ticketing Tool
  • Fluency in English** and proficiency in German or French (a plus)
