Acolad is an international leader in language and content solutions, services and technologies.Represented by the brands Acolad, Livewords, TextMaster and Ubiqus, the group is present in 25 countries and has a network of over 2,500 internal experts worldwide and +20,000 external linguists.At Acolad, every position is key to our global growth: we know that we will only succeed if our people succeed.Joining Acolad means a unique opportunity for professional development through a collaborative global environment that promotes talent and creativity.We are continuously looking for new talent (like you)to support our mission to drive growth and innovation across some of the world's leading brand.Have you been looking for a dynamic role where you can learn the ins and outs of office management and human resources?Look no furtherWe're on the hunt for a proactive and organized Office Management Assistant to join our HR department.This is a great opportunity to get hands-on experience in a variety of administrative and HR duties, and gain valuable knowledge about how our office and HR team operate.Key Responsibilities Office Supplies and Kitchen Stock Management: Assist in conducting regular stock checks of office supplies and kitchen items (breakfast items, snacks, coffee).Help ensure timely replenishment and maintain organized inventory records.Mail and Courier Services: Assist in preparing outgoing mail and packages.Support with trips to the post office for mailing services.Financial Administration: Help send invoices to the accounting department for payment processing.Assist in creating Purchase Orders and posting Goods Receipts in SAP.Document Management: Support in archiving documents and invoices systematically.Help manage personal data changes in SAP Fleet and Asset Management: Assist in managing the company fleet by requesting monthly mileage updates and liaising with rental companies Help coordinate company mobile phone repairs and orders Event and Gift Management: Assist in managing birthday and seniority gift cards.Support the organization of company events and event logistics.Communication and Coordination: Assist in handling communication with suppliers and building management.Help coordinate office repairs and maintenance.Assist in the reception area by welcoming visitors, preparing meeting rooms, and organizing lunches when needed.HR Support: In addition to core office management duties, the Office Management Specialist will act as a back-up for HR administrative functions as required.This includes assisting with onboarding and offboarding, employee records management and employee relations to ensure a seamless HR operation.Requirements Bachelor's degree in HR or a related field Prior internship or part-time work experience in an office setting would be advantageous Proficiency in MS Office (specifically MS Excel, MS Word, and MS Outlook).Exceptional organizational and multitasking capabilities.Effective communication and interpersonal skills.Keen attention to detail and strong problem-solving abilities.Language: Fluent in English is mandatory BenefitsWhat we Offer:Join us and immerse yourself in a dynamic environment where you can collaborate with talented colleagues from different backgrounds and cultures.Explore our vibrant network of professionals, and together, let's drive innovation, foster creativity, and make a difference in the worldPart-time: 6h/week ?
