Office and Support Supervisor

Company Description - ALLOS is a unique technology that enables seamless, high-performance integration between MS Office and enterprise systems, providing its customers with high level of independency from IT to perform their business tasks. ALLOS clients has a network of clients in Portugal, France, UK and Angola on a variety of business sector and it needs high value people for the expected exponential growth.

Description of the position:
We're seeking an Office Manager to streamline and manage administrative tasks, ensuring smooth operations within our organization. This role requires expertise in handling various administrative duties independently, with mínimal supervision.

Primary Responsibilities:

- Ensure timely execution of routine processes according to the weekly task list.
- Serve as the point of contact for customers regarding essential support procedures.
- Oversee procurement processes and finalize critical project and product development documentation layouts.

Specific job responsibilities:

- Establish and maintain records of Finance and HR data in coordination with accounting.
- Participate in meetings, preparing meeting agendas and minutes.
- Serve as the primary contact for customers regarding administrative and support procedures.
- Assist project teams to ensure timely project completion. Aid in the final layout of project documents and similar materials.
- Coordinate procurement and development of marketing materials like flyers, brochures and videos.
- Coordinate procurement and assist in the development and final layout of product development materials, such as manuals and instructional videos.
- Manage the implementation of the social marketing plan.

Reports to:
The Office Manager reports directly to the CEO with all day-to-day issues and any technical and project related matters.

Qualifications - Required knowledge, skills, abilities:

- Degree/ Diploma in Business
- Trained and experienced in office management.
- Proficient user of MS Office
- Excellent communication skills
- Strong command of the English language.
- Collaborative team player.
- Exceptional attention to detail and problem-solving abilities.
- Robust organizational and planning skills.
- Familiarity with accounting, data management and administrative practices.
- Understanding of business and management principles.
