A equipa de Office Management garante o bem-estar, qualidade e conforto de todos os colaboradores e visitantes dos nossos escritórios. Em estreita colaboração com as diferentes unidades da empresa, também é sua missão contribuir para a dinamização da cultura e valores da Xpand IT, através do apoio em diversas iniciativas e manutenção dos espaços e recursos da empresa.
Quais as principais responsabilidades?
Enquanto Office Operations Specialist, irás apoiar o crescimento contínuo da Xpand IT. Serás responsável pela manutenção dos serviços, operações e uso adequado do escritório para garantir uma ótima experiência a todos os funcionários e visitantes externos.
**Diariamente, serás responsável por**:
Manter o pleno funcionamento dos escritórios, gerindo adequadas reparações e intervenções pontuais do escritório (em coordenação com fornecedores externos);
Contribuir para o planeamento e coordenação de atividades operacionais;
Gerir a relação com os fornecedores de serviços de escritório para garantir a correta manutenção dos espaços de trabalho (ex: limpeza, abastecimento de alimentos);
Receber feedback dos colaboradores para garantir o seu bem-estar e conforto no dia a dia no escritório;
Gerir pedidos de viagens e alojamentos (em coordenação com fornecedores externos);
Otimizar processos e melhorar a nossa rede de fornecedores, realizando tarefas de compras;
Receber a correspondência do escritório, encomendas e atender chamadas telefónicas;
Garantir a reposição de materiais e mercadorias;
Garantir a confidencialidade, integridade e disponibilidade de todas as informações;
Cumprir todos os documentos e procedimentos aplicáveis do Sistema de Gestão de Segurança da Informação;
Contribuir proativamente para a proteção de informações, incluindo o compartilhamento de informações verbalmente sensíveis.
Que Skills precisas de ter?
Ensino Secundário ou Licenciatura (ou equivalente);
Bons conhecimentos de MS Office ou ferramentas de software de produtividade semelhantes;
Boas capacidades de comunicação;
Excelentes competências interpessoais;
Precisão e atenção ao detalhe;
Profissionalismo, organização e grande sentido de responsabilidade;
Capacidades de inovação e melhoria;
Abordagem pró-ativa para resolução de problemas e melhoria contínua;
Inglês avançado.

Experiência prévia no setor de IT e gestão de escritórios com mais de 50 colaboradores;
Experiência com Microsoft Office, Microsoft Teams, Jira Service Desk, ERP.
