The Role:
The Administrative Coordinator - Recruitment Operations will play a pivotal administrative role in supporting Talent Acquisition activities across divisional teams, with a focus on scheduling and coordination for our Technology and corporate area. The ideal candidate is highly organized and proactive, passionate about delivering exceptional recruitment experiences for candidates and internal teams.
You will build relationships with both internal and external stakeholders, acting as the first point of contact for recruitment inquiries and supporting the team in interview scheduling. It is expected that you will provide a superior candidate experience, constantly striving to improve our processes for candidates, ensuring proper training sessions – content preparation and delivery – and inductions for hiring managers alike.
Key Responsibilities:
- Coordinate and schedule interviews with shortlisted candidates and the hiring panel, confirming bookings in diaries with email notifications to both the Talent Acquisition team and candidates.
- Ensure seamless interview experiences for candidates and interviewers.
- Maintain the operational recruitment process's smooth and effective operation.
- Perform a range of administration tasks around the recruitment process, supporting the team in their day-to-day roles.
- Manage high volumes of work, aligning multiple calendars, and keeping all parties informed.
- Guarantee timely, accurate, and consistent completion of all administration for the recruitment team.
- Provide assistance with ad hoc requests as needed.
- Stakeholder management is crucial; you will develop and maintain critical relationships with the business to ensure that hiring operations run at a high pace and quality.
Requirements:
- Excellent customer service skills for providing outstanding experiences to candidates and managers.
- Ability to communicate effectively with individuals at all levels.
- Fluency in English and Portuguese is mandatory.
- Adaptability is essential, as this role requires someone who thrives in a dynamic environment with varied tasks.
- Experience working in a high-volume Talent Acquisition administration environment is preferred.
- Strong MS Office skills, particularly in Excel, Outlook, and Word.
- Experience of working with various departments and management levels across the business.
- Diary management and meeting scheduling experience are crucial.
- A team player who excels in a fast-paced, dynamic environment.
- Exceptional organizational and interpersonal skills with extraordinary attention to detail and the ability to prioritize effectively and work towards targets.
- A self-starter who can take initiative and navigate ambiguity.
Salary:
The estimated salary for this position is $60,000 - $80,000 per year, depending on location and experience.
